Saved Views#
A saved view keeps a set-up of the task register under a name: its filters, its sort, its page size and the columns it shows, in their order. Open it again from the view switch or straight from the side menu.
The view switch#
The switch sits above the task register and shows the name of the view that is open. Open it to change view.
| Group | Content |
|---|---|
| Standard | The plain task register, with no filters and the default columns. |
| My views | The views you saved. |
| Shared with me | Views other people shared with you or with the whole organization. |
When the table no longer matches the open view, for example after you changed a filter, the switch is marked modified. Select Save to store the change in the view, Save as new view to keep it under a new name, or Reset to return to the view as it was saved.
The open view is part of the page address, so a link to the register opens the same view for whoever follows it.
Save a view#
- Set up the task register: filters, sort and columns.
- Select the Save as view icon next to the switch.
- Enter a name, for example My overdue audits.
- Optionally choose an icon and set who the view is shared with.
- Select Save.
A new view is pinned to the side menu straight away. See Side menu.
Set a view up in place#
Select the pencil next to the switch. On a view of your own it reads Edit view; on the standard view or a view shared with you it reads New view from this table, and the result is saved as a copy.
The table turns into its own editor:
| Action | How |
|---|---|
| Move a column | Drag the handle above the column header. |
| Hide a column | Select × on the handle. At least one column stays. |
| Show a column again | Select + Column and pick it. |
| Name | The name shown on the switch and in the menu. |
| Icon | Select Choose icon. The icon is shown on the switch and in the side menu. |
Every change shows in the table at once. Select Save to keep it, or Cancel to put the table back as it was.
To delete a view of your own, select Delete in the editor and confirm with Really delete?.
Sharing#
| Setting | Who sees the view |
|---|---|
| (no sharing) | Only you. The editor states Visible to you only. |
| Whole organisation | Everyone in the account, in their Shared with me list. |
| Person or group | The people and groups you pick. Select × on a name to remove it. |
Others can open a shared view but not change it. To adapt it, they save a copy of their own with New view from this table. The copy is named after the original, followed by (copy), and starts unshared.
Open with a view#
Select Open with this view on a view in the switch. The task register then opens with that view for you; the switch marks it Opens with this view. Select it again to go back to the standard view.
A link that carries filters of its own wins over your default view, so a link someone sent you opens as they meant it.
Side menu#
Select Show in menu on a view in the switch to list it in the side menu, below Tasks. The view then reads In the menu.
- Select a view in the side menu to open the register with it.
- Drag the views in the side menu into the order you want.
- Select Tasks itself to return to the plain task register.
Which views are in your menu, and in what order, is your own setting. Pinning a shared view does not change anyone else's menu.
Notes and limits#
- Saved views are available on the task register. Other compliance lists do not have them yet.
- A shared view is read-only for everyone but its owner. Others work on a copy.
- A view stores the table's set-up, not its rows. It shows whatever matches its filters when it is opened.
