Organizations

Organizations holds the plant hierarchy and the responsibility matrix.

Audits happen at a unit, findings inherit the unit of their audit, planning rules target units, analytics group by site, and CAPA owners are resolved from the unit.

The five levels

Level	Typical use
Organization	The company or group. The root of the tree.
Site	A plant or location.
Area	A production hall, a department or a line.
Subarea	A cell, a station or a zone.
Equipment	A single machine or asset. The lowest level.

A unit can only be created under the level directly above it. A unit's level is fixed after creation.

All five levels are optional below Site. Many organizations stop at Area.

Add a unit

1. Select + New organization for a root unit, or hover a row and select + Add for a child unit.
2. The level is determined by the parent and is shown read-only.
3. Enter the name.

Changes save automatically. There is no Save button.

Move through the tree

Select a row to expand or collapse it. Children are loaded when a unit is expanded. Equipment units have no children and cannot be expanded.

The responsibility matrix

To the right of each row is one column per management system, each holding three roles.

Role	Purpose
Auditor	Performs audits for this unit. Planned audits from the calendar are assigned to this person.
Quality	Reviews and verifies corrective work at CAPA approval gates.
Owner	Accountable for the unit. Corrective actions are assigned to this person.

Select any cell to choose a person. Select ↑ Inherit to clear it.

Select What do Auditor, Quality and Owner mean above the tree for the same reference inside the product.

Inheritance

A blank cell inherits from the unit above it. An inherited value is shown with an ↑ marker and the name of the inherited person.

Setting the three roles on a site therefore covers every area, subarea and equipment unit beneath it. Set a value on a lower unit only where it differs.

Per management system

Roles are held per management system. The same area can have one quality lead for Food Safety and a different one for HSE.

Effect on the calendar

The calendar can only plan an audit that it can assign. A checklist whose planning rule matches a unit with no Auditor for that management system is reported as a No responsible gap and produces no audits.

Delete a unit

Deleting a unit moves it to the Trash, from where it can be restored.

A unit that still has children cannot be deleted. Delete or move the children first.

Notes and limits

• Five fixed levels, and a unit's level cannot be changed after it is created.
• A unit cannot be moved to a different branch. Create it in the correct place and delete the old one.
• A role holds one person, not a group or a list.
