Email Notifications#
The Compliance Platform sends two kinds of email: one daily digest of what needs your attention, and an immediate email when corrective-action work becomes yours.
Nothing else is emailed. Findings being raised, audits being generated and records being edited do not produce mail, so the digest stays worth reading.
Open Email Notifications in the menu to change what you receive.
The daily digest#
One email each working morning, listing only your own work. It covers, in this order:
| Section | What it lists |
|---|---|
| Missed | Your audits and tasks that lapsed since the previous digest |
| Waiting for your approval | Approval steps in a CAPA route that are assigned to you |
| Overdue | Your audits and tasks whose deadline has passed |
| Due today | Your audits and tasks due before the end of your day |
| Due this week | Your audits and tasks due within the next seven days |
| Findings in your responsibility | Open findings whose organizational unit and management system make you the responsible person |
Every line names where the work sits, its deadline and its case reference, and links straight to the screen that opens it: the audit runner for an audit, the completion form for a task, the CAPA cockpit for a finding.
If you have nothing in any of those sections, no email is sent. An empty digest every morning would only teach you to ignore it.
Weekends are skipped.
Your morning, not the server's#
The digest arrives at the hour you choose, in your own time zone, and its day boundaries are yours too. For a plant in Puebla and one in Attendorn, "due today" covers different work at the same moment, and each person's digest reflects their own day.
The time zone comes from the country set in your platform account settings, so nothing needs to be entered twice. You can override it on the notification settings page, which is what to do if your country spans several time zones or is not offered in the account settings.
The settings page always displays the time zone that will actually be used, so 07:00 is never ambiguous.
Immediate emails#
Two events are emailed as they happen, because a CAPA route creates only the step that is workable now. Until it exists, nobody can see it coming.
| Event | Why it cannot wait |
|---|---|
| A corrective-action step is assigned to you | It is the first time the work exists, and its deadline starts running immediately |
| An approval sends a step back to you for rework | The finding's deadline does not move because a gate rejected the work |
You are not emailed about a step you assigned to yourself by completing the previous one. You are already looking at the screen.
What you can change#
| Setting | Effect |
|---|---|
| Daily digest | Turns the digest on or off |
| Arrives at | The hour the digest is sent, in your own time zone |
| Time zone | Follows your account settings unless you set one here |
| Corrective-action emails | Turns the two immediate emails on or off |
| Send me one now | Sends your digest as it stands and reports what happened |
These are your settings only. Nobody can read or change a colleague's notification settings, and turning yours off does not affect anyone else.
Use Send me one now when you are not sure the email is reaching you. Email fails quietly in every other way: a wrong address, a blocked sender, a filter rule. The button either delivers or tells you why not.
The language of the email follows the language in your platform account settings. English and German are supported; any other setting is sent in English.
Notes and limits#
- Work assigned to a group is not emailed. Only tasks assigned to a person produce a digest line or an immediate email.
- Open work with no deadline is not in the digest. It stays visible in the task list.
- Email only, in English or German. There is no push notification and no in-app notification center.
