Mobile2b Smart Tasks#

Mobile2b Smart Tasks is a digital job and task management platform that replaces paper-based and legacy job tracking. It enables organizations to create one-time or recurring jobs with attached checklists, automatically schedule and assign work, track completion, and generate report documents — all with AI-powered recommendations for continuous improvement.

Smart Tasks serves as the foundation for Smart Maintenance, Smart Audits, and other specialized apps.

Jobs#

Jobs are the core work items in Smart Tasks. Each job follows a status lifecycle:

Open → In Progress → Completed / Cancelled → Archived

Jobs can have an attached checklist (UI) and flow, an assignee, start and end dates, and links to generated reports. Overdue jobs are automatically flagged.

Views#

  • Jobs List — filtered table showing the current user's active (non-archived) jobs
  • Calendar — month view of jobs mapped by start and end dates
  • Timeline — Gantt-style view grouped by assignee
  • Board — Kanban board grouped by job status

Actions#

  • Start — begin a job using its attached flow or checklist
  • Resume — continue an in-progress job
  • Cancel / Skip — cancel a job with a reason (sick leave, weather, equipment failure, etc.)
  • Delegate — reassign a job to another user
  • Archive — archive completed or cancelled jobs
  • View Report — open the generated report document

Schedules#

Define recurring jobs with cron-based scheduling. Each schedule specifies:

  • Recurrence pattern (cron expression)
  • Duration
  • Assignee (manual or smart-assign based on skills)

Jobs are automatically created from active schedules daily. Schedule compliance is tracked to show how reliably scheduled work is being completed (excellent / good / fair / poor).

Skills & Skill Matrix#

Maintain a Skill catalog to track team qualifications, and use the Skill Matrix (a pivot table of resources vs. skills) to see at a glance who is qualified for what. Skills have validity dates and status tracking (active / expiring soon / in training).

AI Recommendations#

Smart Tasks includes an AI-powered recommendation engine that analyzes your operations and suggests improvements. Recommendations appear in a dedicated view where you can:

  • Accept — the recommendation is passed to an AI agent for execution
  • Decline — the recommendation is dismissed

Recommendations are generated automatically on a daily basis.

Reports#

When a job is completed through a flow or checklist, a report document is automatically generated and linked to the job for future reference.
