Users#

Statuses#

Active#

  • Licence fees apply for active users.
  • The user can sign in and use the platform as per their role and permissions.

Suspended#

  • Licence fees still apply for suspended users.
  • The user's data remains. However, they will not receive any emails and will not be able to sign in.
  • Suspended users can be reactivated at any time.

Archived#

  • No licence fees for archived users.
  • The user's data remains to maintain a full audit trail.
  • WARNING: Archived users can not be reactivated. Only archive a user if you are absolutely sure they will never need to gain access again.

Invited#

  • The user has been invited but has not yet accepted the invitation.

There are two types of Users - Internal and External

Internal Users#

These users can have a variety of permissions which allows them to access/create/update/delete almost all the features inside the platform

External Users#

These users have very few permissions which allows them can see Flows, Tasks, Business objects and start Flows

Settings:

  • Status*: Active/Inactive, when Inactive the user cannot sign in into the platform
  • First name*: The first name of the user
  • Last name*: The last name of the user
  • Username*: The user must have either an Email or Username, used for signing in into the platform
  • Email*: The user must have either an Email or Username, used for signing in into the platform
  • Password*: The user must have a password with minimum length of 16 characters and contain lower and upper case, number and special case
  • Phone number: You can set a phone number to your users
  • 2FA: Multi-Factor Authentication which works with authenticator apps like "Google Authenticator" or "Microsoft Authenticator", if set up the user will be asked for a 5-digit code when singing into the platform (plus the normal email and password)
  • SSO: You can set up Single Sign-On for your users - "Google", "Azure Active Directory" and others
  • Avatar: you can upload an image or stick to the default avatar - first letter from the user first name plus the first letter from the user last name, "Marta Schmidt" becomes "MS"
  • Role*: The user must have a role, the role decides what the user will be able to see and do inside the platform
  • Groups: The user can be a part of many groups

Notes:

  • The user can have both an Email and Username
  • If the user is using SSO to login you do not need to set Email and Password
